Full Time Office Assistant
Fairlawn Real Estate is a dynamic real estate firm that specializes in acquiring, renovating, developing and managing real estate projects in the Midwest United States.  This Office Assistant position offers an exciting opportunity to join a growth-oriented organization and launch Fairlawn’s first residential community in the Indianapolis metro area.
Based in Champaign, Illinois, the Fairlawn team member will work at Fairlawn’s Corporate office directly supporting Fairlawn’s Senior Leadership and Market Management team.  The ideal candidate will be a detail-oriented and process-driven individual who is capable in assisting in all aspects of the administrative and office support function.
Office Assistant Responsibilities:

  • Maintain the President and COO’s schedule, including day-to-day and long-term management of meetings, projects, and priorities
  • Schedule meetings, travel, and interviews, including prioritizing meetings and communicating all relevant details to participants
  • Work with the senior leadership team to collect and assemble information for projects, strategic planning, and presentations for all company meetings
  • Serve as the main point of contact between the senior leadership team and external contacts and vendors
  • Facilitate, build and monitor vendor relationships for the Market Maintenance team including tracking contacts in our database and managing follow-up
  • Handle phone, email and mail inquiries and respond appropriately
  • Coordinate and manage special projects
  • Work as a member of the team, willingly providing back‐up support for co‐workers when appropriate
  • Receive, sort, and deliver incoming postal mail & packages; take outgoing mail to mailbox daily
  • Manage all aspects of office management including ordering & replenishing snack & beverage supply, monitoring and replenishing kitchen and bathroom supplies, collecting & ordering office supplies, rotating seasonal décor, workspace planning, etc.

  • Exhibit sound judgment and the ability to make reasonable decisions in the absence of direction
  • Works effectively without constant and direct supervision or guidance
  • Demonstrate flexibility with constant change
  • Produce well thought‐out, professional correspondence free of grammatical and spelling errors
  • Promptly respond to requests with accuracy and a courteous demeanor
  • Demonstrate advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills

Office Assistant Skills and Knowledge Requirements:

  • Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail and the belief that no task is too big or too small
  • Superb communication skills (oral and written) with a confident, concise, clear and compelling style
  • Produce well thought‐out, professional correspondence free of grammatical and spelling errors
  • Proficient in all MS Office applications including, Word, Excel, PowerPoint
  • Excellent relationship builder; able to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders. Must also demonstrate ability to maintain confidential/sensitive information.
  • Skilled in all aspects of planning and project management/Able to take an idea from concept to completion.
  • Resourceful, strategic problem-solving ability with a positive attitude and fun sense of humor 

Office Assistant Additional Requirements:

  • Undergraduate Degree in a relevant discipline
  • 2-5 years of relative experience in an office admin role

Office Assistant Additional Requirements:

  • Valid driver’s license and dependable vehicle.  Limited in-town usage of personal vehicle for errands and property visits required, any out-of-County personal mileage reimbursed at the Federal rate
